As leaders, we often juggle competing priorities: strategic thinking, complex problem solving, operational delivery…and everything in between. But one of the simplest tools I’ve found for bringing clarity and balance to that complexity is the humble task list.
Recently, I revisited an old episode of the Coaching for Leaders podcast, specifically episode 331, where Dave Stachowiak interviews Tim Stringer, digging into his concept of the brain’s two key modes of operation:
Planning (Boss Mode) – the creative right-brain, big-picture planning state where we imagine, design and set direction.
Doing (Worker Mode) – the logical left-brain focused state, where we execute the plan and get things done.
Stringer reminds us that our brains aren’t wired to operate in both modes at once. Trying to plan and do simultaneously often leads to cognitive clutter, that mental fog we all know too well.
Creating a task list might seem simple, but it’s actually a bridge between these two brain states.
In Boss Mode, writing the list gives form to creative ideas and captures them before they slip away.
In Worker Mode, the list frees your brain from decision fatigue and allows focused, purposeful action.
The act of separating planning from doing isn’t just about productivity - it’s about creating space for clarity and creativity. Once the list is made, your brain can relax, trust the plan and get into flow.
As someone who spends a lot of time supporting others to lead and learn with intention, I find this framework incredibly helpful, not only for managing work but for managing thinking.
Sometimes, the most powerful leadership tools are also the simplest.
Have you noticed how your own productivity or creativity shifts when you separate planning and doing?
Lead on. Lead well.
